Automation and AI workflows

Workflow automation for less copying and fewer manual follow-ups.

We map one repeated task from start to finish, then build a bounded integration or AI workflow with oversight, exception handling and an owner.

Who it is for

Inquiries copied between systems, the same details pulled out of files again and again, follow-ups that depend on someone remembering: any of these is a good place to start. We begin with one repeated task and make no promise to automate the whole business.

Where we start

A workflow must cope with missing input and broken connections, not only the successful path. That is why we plan error handling and the point where a person takes over.

Example workflow

From a recurring request to a managed workflow

Choose one task and agree the data, decisions and exceptions.

  1. 01Input

    Request and tools

Describe the input, tools, expected output and exceptions.

  2. 02AI and rules

    Rules and a summary

Move information using agreed rules; AI can help summarise content where needed.

  3. 03Human review

    Decisions and exceptions

You: Approve critical actions and take over exceptions.

We: Test inputs, approvals and recovery behaviour.

  4. 04Output

    Workflow and handoff

Receive a bounded workflow and guidance on operating, pausing and recovering it.

Example workflow. Implementation depends on system access and the agreed scope. Ongoing care and monitoring are agreed separately.

Automation and AI workflows

What discovery provides

An assessment of one workflow and a scoped prototype or integration. We use AI where the task needs it, and a plain rule is sometimes the better answer.

Deliverables

  1. The map

A map of inputs, systems, users and decisions.

  2. Boundaries

Integration options, access needs and data-flow boundaries.

  3. Scope

A bounded build with human approval where it matters.

  4. Logs and failures

Agreed logs, alerts and recovery behaviour.

  5. Testing and handover

Checks of normal and failure cases using agreed sample inputs:

    • missing information
    • connection failures
    • repeated triggers

    Operating guidance identifies:

    • the workflow owner
    • human intervention
    • how to pause and resume

Access to your systems and a suitable API may be prerequisites. Tool charges, continuous monitoring and further workflows need separate scope.

What shapes the scope

The systems involved, exceptions, data and the level of oversight set the scope. A pilot gives you evidence for deciding whether to extend.

  • The steps and owner of one repeated task are written down.
  • Data moves between systems without being copied by hand at each stage.
  • A failure triggers an alert and an agreed way to carry on.

What to know

  • Access to your systems and a suitable API may be prerequisites.
  • Tool charges, continuous monitoring and further workflows need separate scope.

Where AI and automation can help

Example workflows: input, automated step, then a human decision or a bounded outcome.

AI for sales and CRM

Bring enquiry information and next steps into your CRM. A person decides how to continue the customer conversation.

  1. Enquiry
  2. CRM record and next steps
  3. Person decides

AI for customer service

AI helps sort recurring questions and prepare draft replies. Complex cases go to a person.

  1. Recurring question
  2. Sorted, answer drafted
  3. Complex case to a person

Ecommerce automation

Connect order information and follow-up tasks to reduce repeated data entry. People handle exceptions.

  1. Order
  2. Connected follow-ups
  3. Exceptions checked by a person

Business workflow automation

Map recurring steps and connect the tools involved. Start with one clearly defined workflow.

  1. Repeated step
  2. Connected tools
  3. One bounded workflow

How it works

Three steps

  1. Walk through the current work using a real example.

  2. Choose a feasible test and confirm the data boundaries.

  3. Test the build and agree maintenance and monitoring.

Frequently asked questions

Related services

Does it have to use AI?

No. A rule-based task may only need a link between two systems. We add complexity only when the task needs it.

Can it contact customers or spend money by itself?

Technical capability is not authority. Approvals for external and financial actions are agreed explicitly before anything is built.

How do we measure the time saved?

We measure or document the current task first, then compare it with a suitable stretch of recurring work, so the saving can be judged against a real starting point.

What do you need to assess the first workflow?

Describe the trigger, current steps, tools and expected output. Anonymised examples are enough to begin; access and the data involved are agreed before connecting systems. Pilot acceptance checks whether the output is usable and whether exceptions and human approvals work as agreed.
